Plan a Drop and Group Your Listings

Keep a release together in Vaybel and understand how published products are grouped into Etsy shop sections and Shopify collections.

What a Drop Is

A drop is an optional space for a themed release: its brief, target date, designs, listings, videos, and posts. For example, keep the products for “Autumn Trails” together while you prepare them for your shop. You can still create and publish individual products without a drop.

Your drop brief adds release-specific direction alongside Brand DNA. It currently informs listing copy. It does not automatically apply the brief to generated artwork: review and enter your artwork prompt in the Design step.

Create a Drop

  1. Open Drops under Manage in the dashboard and choose New drop.
  2. Give it a name, then add a target launch date and a brief: theme, occasion, mood, palette, motifs, and direction as useful.
  3. Select Create drop and add the products you want to prepare together.

You can also use Start a drop from a trend concept. In Brand Assistant, ask to plan a drop, review the proposal, and select Create drop to confirm it. A conversation alone does not create the drop.

Choose the name with your shop in mind: Vaybel uses it for the Etsy section or Shopify collection when you publish. Channel naming restrictions still apply.

Add Products and Check Progress

Use Add to drop on a design or listing, or create a product from the drop. A design and its related listings, videos, and posts stay together. Moving a listing to another drop also moves its design and related work; these are not independent copies.

The drop tracks its brief, date, and products, plus each product's design, mockups, and live listing. Content readiness is shown separately. These checks help you see what remains; they do not replace reviewing the product or checking its live channel listing.

Launch drop marks the release as live in Vaybel. Wrap drop closes the planning cycle. Neither action publishes or removes your listings, and a target date does not schedule publication. Publish through the listing workflow.

How Etsy Sections and Shopify Collections Work

Attach products to the drop before publishing. After a successful publish, Vaybel runs a separate grouping step for that listing.

Once a channel group has been linked, Vaybel reuses its saved section or collection for later publications from that drop. The grouping step runs after publishing, so a live listing may appear before its grouping is finished. A grouping error does not undo a successful publish.

Etsy: Reconnect When Asked

Older Etsy connections may need to be reauthorized so Vaybel can create shop sections. If the drop shows Reconnect Etsy, open Settings → Integrations, reconnect the intended Etsy shop, and approve the requested access. Technical scope name: shops_w.

A channel error can also be caused by its naming or account restrictions. Check the error shown under On your channels, then inspect the listing directly in Etsy. See Connect Etsy.

Check the Result

Open the drop and look under On your channels for Etsy section or Shopify collection. Ready indicates the grouping step succeeded; Failed means it needs attention. Check each published product in the destination shop as well, especially if earlier publications failed to group.

Reconnecting a channel does not automatically regroup every previously published product. If a listing is already live but missing from the group, you can assign it directly in Etsy or Shopify. Contact support if the error persists; avoid creating another listing just to fix its grouping.

What Does Not Sync Automatically

Drops is not a two-way collection editor:

  • Adding an already-published product to a drop does not immediately move it in the shop.
  • Renaming a drop does not rename its existing Etsy section or Shopify collection.
  • Moving or removing work, wrapping a drop, or deleting a drop does not remove the existing channel grouping or unpublish products.
  • Changes made to a section or collection in the shop are not imported as changes to your drop.

Make those shop-side changes in Etsy or Shopify and check the result there. Deleting a drop releases the work from the drop in Vaybel; it does not delete the products themselves.
